Configure Job Settings

This section describes how to configure the following employee job settings.

Create a Job Code

The job code records created using the Job Codes editor are available for selection when assigning job codes to employees.

To create a job code:

  1. From the Xenial Portal homepage, select Data Management.

  2. From the Staff Settings menu, select Job Settings.

  3. From the Job Settings menu, select Job Codes.

  4. Select New Job Code.

  5. In the Job Name field, type the name of the job code.

  6. From the Job Code Category dropdown, select the category to assign to this job code.

    • This dropdown is populated with the records defined using the Job Code Categories editor.

  7. From the Role dropdown, select the employee role to assign to this job code.

    • This dropdown is populated with the Roles records defined on the Xenial Portal.

  8. From the Parent Job dropdown, select the parent job to associate with this job code (if applicable).

  9. From the Tip Category dropdown, select the tip category to assign to the job code:

    • Indirect - Employees assigned to this job code receive tips from directly tipped employees through either tip pooling or tip splitting.

    • No - Employees assigned to this job code do not receive tips.

    • Yes - Employees assigned to this job code receive tips directly from customers.

  10. In the Standard Shift Length (Hours) field, type the length (in hours) of a standard shift for this job code.

  11. In the External ID field, type an external identifier for the job code. External identifiers are references used by external third-party systems, such as an accounting system.

  12. Select Is Managerial Position if this job code is a managerial position.

  13. Select Is Server Position if this job code can be associated to the front of house action of waiting tables.

  14. Select Allow Primary Position if this job code can be assigned as an employee's primary job code.

  15. Select the desired If User has All Orders Privilege option. These options determine how employees with this job code operate when they have the permission to view all orders.

    • Operate as Cashier – When the employee performs a transaction on an order assigned to another employee, the transaction is attributed to the employee who performed it and the ownership of the order is transferred to that employee.

    • Operate as Manager – When the employee performs a transaction on an order assigned to another employee, the transaction is attributed to the original owner of the order and the original owner retains ownership of the order.

  16. Select the Job Color field to select a color to associate with the job code.

    • The selected color is used to quickly identify the job code on employee schedules.

  17. Select Set Default Menu to assign a default menu to this job code.

    • From the dropdown, select the Ordering application menu to open by default when an employee with this job code initially accesses the Order Entry screen.

  18. Select the desired Usage option(s):

    • Punch - The job code is available for selection when the employee clocks in.

    • Schedule - The job code is available for selection when creating employee schedules.

Create a Job Code Rate

A job code rate is the compensation associated with a job code.

To create a job code rate:

  1. From the Xenial Portal homepage, select Data Management.

  2. From the Staff Settings menu, select Job Settings.

  3. From the Job Settings menu, select Job Code Rates.

  4. Select New Job Code Rate.

  5. From the Job Code dropdown menu, select the job code to associate with this job code rate.

    • This dropdown menu is populated with the job code records defined using the Job Codes editor.

  6. From the Compensation Type dropdown menu, select the desired compensation type.

    • Hourly - Employees assigned this job code are paid a fixed rate for each hour they work.

    • Salary - Employees assigned this job code are paid a fixed rate that is not based on the number of hours worked.

  7. In the Min Rate field, type the minimum rate an employee earns when assigned this job code.

  8. In the Max Rate field, type the maximum rate an employee earns when assigned this job code.

  9. Select Included in pay calculations to include time clock records for this job code rate when calculating labor cost.

  10. In the Base Rate field, type the base rate an employee earns when assigned this job code.

    • The base rate is the initial rate of compensation that excludes bonuses, overtime pay, benefits, and raises.

Create a Job Code Category

The job code category records created using the Job Code Categories editor are available for selection when creating a job code record. Examples of job code categories include: Front of House, Back of House, and Managers.

To create a job code category:

  1. From the Xenial Portal homepage, select Data Management.

  2. From the Staff Settings menu, select Job Settings.

  3. From the Job Settings menu, select Job Code Categories.

  4. Select New Job Code Category.

  5. In the Name field, type a name for the job code category.

  6. In the Description field, type a description for the job code category.
