Create a Gift Certificate

The following describes how to create a new gift certificate record using the Product List editor in Data Management.

To create a new gift certificate record:

  1. From the Xenial Portal, select Data Management.

  2. From the Ordering Settings menu, select Products.

  3. Select Product List.

  4. Select New Product.

  5. Configure the record as needed.

Define General Settings for a Gift Certificate

Open the General page of the Product List editor to define general settings about a product, including:

  • Product Naming - Define how the product is identified by name in the Ordering application.

  • Reporting Categories - Assign product records to reporting categories to group associated products together on reports.

  • Tags - Tag products with descriptive terms to group similar products together.

  • Tax Groups - Assign a tax group to a product to define the tax rate that is applied to the product price during the order taking process.

  • Additional Information - Provide more descriptive information about the product and define alternate price lookup codes (PLUs).

Name a Gift Certificate

To specify how the product is identified by name:

  1. From the pane on the left, open the General page of the product record.

  2. On the General page, locate the Naming section.

  3. In the Formal Name field, type the default name of the product.

  4. In the ID field, type a price lookup code (PLU).

    • The PLU is an identification code used to improve the accuracy of inventory control.

  5. From the Item Type dropdown, select Gift Certificate.

Assign a Gift Certificate to Reporting Categories

Assign product records to reporting categories to group associated products together on reports.

To assign the gift certificate to reporting categories:

  1. From the pane on the left, open the General page of the product record.

  2. On the General page, locate the Reporting section.

  3. From the Major Category dropdown, select the primary reporting category.

    • Select New Major Category to add a new major reporting category.

  4. From the Minor Category dropdown, select the secondary reporting category.

    • Select New Minor Category to add a new minor reporting category.

The dropdowns are populated with records created using the Reporting Categories editor, which is accessible from the following menu:

Assign Tags to a Gift Certificate

Tag products with descriptive terms to group similar products together. Examples of product tags include: Entree, Beverage, Vegetable, Condiment.

Assign Tags

To assign a tag to a product:

  1. On the General page, locate the Product Tags section.

  2. From the Tags dropdown, select the tags.

To quickly locate an existing tag, type the name in the Tags field.

Add a New Tag

To add a new tag to the tag list:

  1. In the Tags field, type the tag name.

  2. Select (Add New).

Nota

Review the existing tags to ensure that the new tag is necessary and that it confirms with the naming convention of other tags.

Assign a Tax Group to a Gift Certificate

Assign a tax group to a product to define the tax rate that is applied to the product.

To assign a tax group to a gift certificate:

  1. From the pane on the left, open the General page of the product record.

  2. On the General page, locate the Taxation section.

  3. From the Product Tax Group dropdown, select the tax group.

Define Additional Information about a Gift Certificate

Provide more descriptive information about the gift certificate and define alternate price lookup codes (PLUs) in the Additional Information section of the General page of the record.

In the Item Description field, type a detailed description of the item. This detailed item description is provided to customers when placing an order online. The Item Description field accepts up to 1024 alphanumeric characters.

Create Alternate PLUs

Create alternate alternate price lookup codes (PLUs) that the order taker can use to add this product to an order.

To create alternate PLUs:

  1. From the pane on the left, open the General page of the product record.

  2. On the General page, locate the Alternate PLUs section.

  3. Select Create to create a new Alternate PLU.

  4. Scan or type the PLU barcode information in the provided field.

  5. Select Done.

  1. Open the Liability page of the product record.

  2. From the Payment Type dropdown, select the payment type to associate with the gift certificate.

Define Availability Settings for a Gift Certificate

Define availability settings for a gift certificate, including:

  • Availability at each site

  • Availability restrictions by order source (e.g. Mobile App, Web Site, Restaurant Terminal)

To define product availability at sites:

  1. Open the Availability page of the product record.

  2. Locate the Availability section.

  3. Set the Active toggle to Active if the product is currently available to be sold.

    • Multi-site users: Select the globe icon located to the right of the field to define values for each site.

Restrict Gift Certificate Availability by Order Source

Restrict gift certificate availability by order source (e.g. Mobile App, Web Site, Restaurant Terminal). For example, the availability of gift certificates is restricted to orders placed at the Restaurant Terminal.

Product availability restrictions are enforced in the following areas:

A toast notification is displayed on the terminal to inform the order taker when a product is not available.

To restrict gift certificate sales availability:

  1. On the Availability page, locate the Order Sources section.

  2. Set the Allow Order Source Restriction toggle to On.

  3. Set the Available toggle to No for each order source where sales of the gift certificate are not available.

    The Available toggle is set to Yes for each listed order source by default.

Define Pricing for a Gift Certificate

To specify the price of the gift certificate at the Ordering application:

Single-Site User

  1. On the Price page, locate the Pricing section.

  2. In the Price field, type the gift certificate price.

  3. Set the Tax Inclusive toggle to Yes if all applicable taxes are already included in the standard price. Tax will not be applied again when the product is added to a guest's order.

  4. Set the Open Price toggle to Yes to prompt the order taker to specify the gift certificate price at the Ordering application when it is added to an order.

Multi-Site User

  1. Locate the Pricing section of the Price page of the product record.

  2. Use the Open Price toggle to control whether the order taker is prompted to enter the product price at the Ordering application when it is added to an order. Select the globe icon to define the toggle value for each site.

  3. Set the Tax Inclusive toggle to Yes if all applicable taxes are already included in the standard price. Tax will not be applied again when the product is added to a guest's order.

  4. Select Review Changes to review the price change(s).

  5. To the right of the Price field, select the globe icon to open the Edit Price form.

    Select the down arrow next to Confirm and Close for additional options:

    • Select Confirm and Close to confirm the price change(s).

    • Confirm and Duplicate – Confirm the changes and duplicate them for additional sites.

  6. Locate the Pricing section of the Price page of the product record.

  7. Set the Tax Inclusive toggle to Yes if all applicable taxes are already included in the standard price. Tax will not be applied again when the product is added to a guest's order.

  8. To the right of the Open Price field, select the globe icon to open the Open Price for Item editor.

  9. For each applicable site, set the Value toggle to Yes to prompt the order taker to specify the product price at the Ordering application when it is added to a guest's order.

  10. Select Review Changes.

  11. Select Confirm and Close to confirm the changes.

Define Ordering Options for a Gift Certificate

Open the Ordering Options page of the Product List editor to define general ordering options for a product, including:

Enable the Product Quantity Prompt

Some products require the order taker to specify the quantity when it is added to an order.

To enable the quantity prompt for a gift certificate:

  1. On the Ordering Options page, locate the Quantity section.

  2. Set the Prompt for Quantity toggle to On to enable the quantity prompt.

Define the Guest Count for a Gift Certificate

The Guest Count indicates the number of guests to associate with an order when this product is added to an order.

To define the Guest Count for a gift certificate:

  1. On the Ordering Options page, locate the Guest Count section.

  2. In the Guest Count field, type the number of guests to associate with an order when this product is added to an order.

    • Optionally adjust the guest count value using the +/- buttons.

Define Appearance Settings for a Gift Certificate

Open the Appearance page of the Product List editor to define how the product appears on the Ordering application, including:

Specify a menu caption for a product that order takers can easily understand and fits the constraints of minimum button sizes.

  1. On the Appearance page, locate the Menu Display Options section.

  2. In the Menu Caption field, type the optional product name.

    • This caption is displayed on the product’s menu button on the Ordering application.

    • The Menu Caption field accommodates up to 5 lines and up to 255 characters. If this field is left blank, the formal name defined for the product on the General page of the Product List editor is displayed on the menu button.

Gift Certificate Images

To select an image to display for a product:

  1. Create an image set record using the Image Sets editor.

  2. On the Appearance page, locate the Product Images section.

  3. Select the square to the left of Image Type.

  4. Select Edit.

  5. In the Description field, type the image name or description.

  6. Select the Image Source:

    • URL – Specify the network or Internet URL for the image. Type the URL in the Address field.

    • Upload Image – Upload an image. Select Choose File to locate and select the image file.

The product image is displayed in the Preview section of the Edit Product Image window. Select the image to zoom in.
