Table Service Features
At a Table Service site, the host adds guests to a wait list (when applicable) and seats them when specific tables become available. The server is responsible for entering and managing the guest's order at each table in their assigned section.
The following describes the Table Service features that are available with the Xenial Cloud Ordering application. The available actions related to table and wait list management are determined by user mode.

User Modes
Xenial Ordering operates in two (2) Table Service user modes: Host and Server. The following identifies the available actions for each user mode.
Host Mode
From the System Navigation menu, a host opens Waitlist and performs the following actions:
From the Table Map screen, a host performs the following actions:
Waitlist
From the System Navigation menu, select Waitlist. The following table describes the actions available from the Actions menu.
Action | Description |

Seat Party | Seat the selected party at a table. A party can be seated at a table when:
If a server is not already assigned to the selected table, a prompt appears listing the available servers. From the prompt, select a server for the table. |
Send Alert | Send an alert to the selected party (e.g. Table Ready). Alerts are sent in the format selected by the customer: SMS, Email, Coaster, or Voice. |
Party Details | View details about the selected party (e.g. party size). |
Move to Pre-Check | Move the selected party to the Pre-Check list, which includes parties that are seated at a table, but have not yet received their check. |
Move to No Shows | Move the selected party from the wait list to the "No Shows" list and vice versa. |
Add Party to Wait List
To add a party to the wait list:
In the lower-right of the table map, select Add to Waitlist.
From the Basic Info tab of the Party Manager, enter basic information about the party.

Customer Name
Name to identify the party.
Party
Number of guests in the party.
Quoted Time (Estimated)
Estimated time until table is available (as communicated to the guest)
Alert By
Requested method to communicate alerts to the guest.
Cell Number
Cell phone number of the guest.
Send Check-In Text
Select the check box to send a text to the guest on check-in.
Email Address
Email address of the guest.
From the Needs tab of the Party Manager, enter any special needs requested by the party.

Seating Location
Seating location requested by the guest.
First Available - First available table.
Inside - Table located inside.
Outside - Table located outside.
Pre Selected Tables
Specific tables to prioritize for the guest.
Additional Notes
Custom notes or additional special needs.
In the lower-right of the Party Manager, select Submit.
Special Needs
The icons representing the special needs selected for a party are displayed below the party name on the wait list. The following table displays the icon for each special need.

View Party Details
To view details about a party on the wait list:
From the System Navigation menu, select Waitlist.
From the wait list, select the party.
From the Actions menu, select Party Details.
Seat Party from Wait List
To seat a party from the wait list:
From the System Navigation menu, select Waitlist.
From the wait list, select the party.
From the Actions menu, select Seat Party.
From the table map, select the table for the party. A party can be seated at a table when:
The table is enabled.
The table status is Open.
If a server is not already assigned to the selected table, a prompt appears listing the available servers. From the prompt, select a server for the table.
Remove Party from Wait List
To remove a party from the wait list:
From the System Navigation menu, select Waitlist.
From the wait list, select the party.
From the Actions menu, select Move to No Shows.
Direct Seat Party
A host can bypass the wait list and seat a party directly when:
The user mode is Host.
The table is enabled.
The table status is Open.
To "direct seat" a party:
From the System Navigation menu, select Waitlist.
From the wait list, select the party.
In the upper-right of the wait list, select the down arrow.
From the dropdown, select Direct Seating.
From the Party Size field, select the number of guests in the party.
From the Suggested field, select a suggested table.
Suggested tables are highlighted on the table map.
If a server is not already assigned to the selected table, a prompt appears listing the available servers. From the prompt, select a server for the table.
Move Party to Another Table
To move a party to another table:
From the table map, tap the current table where the party is seated.
From the popup menu, select Move to Another Table.
From the table map, tap the new table for the party.
From the confirmation prompt, select OK.

Table Statuses
The following describes the table statuses used in Table Service.
Status | Description |
---|---|
Dirty | Table is unavailable and needs to be cleaned. |
Open | Table is unoccupied and available. |
Ordered | Table is occupied and the customer order is entered. |
Paid | Table is occupied and the customer has paid for their order. |
Printed | Table is occupied and the customer check is printed. |
Seated | Table is occupied. The customer order is NOT yet entered. |
Availability Status
The table icons on the table map specify the table number and identify the availability status of a table. The availability status is identified by the appearance of the icon.

Change Table Status
The status of a table can be changed when:
The table is enabled.
The current status is NOT Open.
To change a table status:
From the table map, tap the table.
From the Table Status window, select the new status for the table.
Enable/Disable Table
A disabled table appears "grayed out" on the table map. A server cannot perform any actions on a disabled table. A table can be enabled/disabled when:
The user mode is Host.
The table status is Open.
To enable/disable a table:
From the table map, tap the table.
From the Table Actions field on the popup window, select Enable/Disable.
Server Mode
From the default Table Map screen, a server performs the following actions.
Enter Order for Table
To enter a new order for a table:
In the lower-left of the Order/List View screen, select New Order.
(If necessary) From the Select Destination for a New Order window, select Eat-In.
If a Table Map is used:
From the upper-left of the Table Map, select the section where the table is located.
From the table map, tap the table.
(If applicable) From the dropdown in the upper-right of the Table Map, select the server to assign to the table.

From the screen footer, select Choose a Different Destination to change the order destination for a new order.
If a Table Map is NOT used:
In the Select Table Name field, type a table name.
Select Apply.
From the Order Entry screen, enter the order for the table.
View Party Details
To view party details (e.g. party size) for a table:
From the table map, tap the table.
From the popup menu, select View Party Details.
Move Party to Another Table
To move a party to another table:
From the table map, tap the current table where the party is seated.
From the popup menu, select Move to Another Table.
From the table map, tap the new table for the party.
From the confirmation prompt, select OK.
